The Opportunity
At Sitetracker, we’re hiring our first-ever Contract Manager — a unique opportunity to build a vital function from the ground up. As the central point of contact for all company contracts, you’ll take full ownership of how we manage, store, track, and maintain critical documents across the business. This role is essential to improving operational clarity, supporting due diligence processes, and ensuring that key contract terms, obligations, and renewal dates are never missed.
Unlike legal-heavy roles you might find elsewhere, this position is more operational and administrative in focus, making it ideal for someone who thrives on creating structure, improving workflows, and taking real ownership. Until now, this work has been distributed across multiple team members — you'll bring it together into a single, streamlined system.

What You'll Do
In this role, you’ll serve as a key partner across departments, driving internal enablement and supporting compliance management efforts. You’ll work closely with teams to ensure that compliance obligations are understood, operationalized, and continuously monitored throughout the organization.
You’ll take the lead in developing, streamlining, and managing contract-related operational processes. This includes collaborating with stakeholders across departments to improve how contracts are handled and ensuring alignment with broader business goals.
You’ll act as a go-to resource for internal teams—especially Sales—by providing guidance on contractual requirements and compliance obligations. Your support will be essential in helping teams manage contracts effectively while mitigating risk.
Managing our contract records and reporting will be a core part of your responsibilities. You’ll maintain accurate documentation, track key contractual and statutory requirements, and support broader contract compliance objectives through structured oversight.
Additionally, you’ll coordinate and document approvals for non-standard contract terms during negotiations, ensuring alignment between Sitetracker’s internal policies and third-party agreements. Your work will bring clarity and consistency to contract governance across the business.
The Skills You'll Have:
- Organizational and Process Management
- Understanding the entire lifecycle of a contract, from initial request and drafting through negotiation, execution, storage, tracking key dates (renewals, expirations), and potential termination or amendment. This includes basic organization of contract documents and awareness of the different stages involved.
- Ability to identify inefficiencies in existing contract workflows and contribute to the development and implementation of standardized processes, templates, and clause libraries to improve efficiency, consistency, and reduce errors. This includes documenting these processes and ensuring adherence.
- Proficiency in using contract management software (CMS) or other tools for tasks such as contract storage, tracking, alerts, reporting, and workflow automation. This also includes the ability to identify opportunities to optimize the use of these systems to enhance efficiency and provide better insights.
- Worked at a high growth tech company that has been through multiple financing rounds and/or liquidity event(s) and have had to navigate and establish new processes.
- Understanding of Contract Law and Software-Specific Agreements
- Understanding the core elements of a valid contract (offer, acceptance, consideration, legal capacity, lawful purpose), common contract clauses (indemnification, warranties, limitations of liability, termination), and fundamental legal concepts like breach of contract and remedies.
- Comprehending the unique legal and commercial aspects inherent in software agreements. This includes understanding different software licensing models (SaaS, perpetual, subscription), intellectual property rights in software (copyright, patents, trade secrets), data privacy and security obligations (e.g., GDPR, CCPA, HIPAA), service level agreements (SLAs)
- Negotiation and Communication Skills
- Ability to translate complex legal and technical jargon found in software agreements into clear, understandable language for non-legal and non-technical stakeholders (e.g., Sales, Product).
- Comprehending the unique legal and commercial aspects inherent in software agreements. This includes understanding different software licensing models (SaaS, perpetual, subscription), intellectual property rights in software (copyright, patents, trade secrets), data privacy and security obligations (e.g., GDPR, CCPA, HIPAA), service level agreements (SLAs)
- Inquisitive, questioning mentality with strong critical judgment, careful attention to detail, and strong organizational skills.
- Excellent written/verbal communication and negotiation skills.
- Highly responsive and service-oriented attitude.
- Ability to lead and support cross departmental teams across various time zones, developing and maintaining strong working relationships, and working effectively with various levels in an organization.
- Risk Assessment and Mitigation
- Ability to recognize common potential risks within standard contract clauses. This includes understanding the implications of standard indemnification language, warranty provisions, limitations of liability, data privacy clauses, and termination rights.
- Gained the ability to analyze risks specific to software agreements, such as those related to intellectual property infringement, data security breaches, service level failures, compliance with evolving data privacy regulations, and the implications of different licensing models. This also involves understanding the potential financial, reputational, and operational impact of these risks on the software company.
- The ability to proactively develop and implement strategies to mitigate identified contractual risks.
Within 90 Days, You'll:
- Develop a solid understanding of the company's business model, industry, products/services, and key stakeholders.
- Familiarize themselves with existing contract templates, processes, and systems (if any).
- Review and analyze key existing contracts to understand obligations, risks, and opportunities.
- Evaluate the current state of contract management processes (creation, review, negotiation, execution, storage, tracking).
- Basic Contract Support:-
- 1 )Begin assisting with the review and negotiation of less complex contracts under supervision.
- 2) Learn and utilize any existing contract management software or tools.
- 3) Ensure proper organization and storage of executed contracts.
Within 180 Days, You'll:
- Independently manage the full lifecycle of a wider range of contracts, including drafting, reviewing, negotiating, and executing.
- Ensure contracts align with company policies and legal requirements.
- Process Implementation:-
- 1) Begin implementing identified improvements to contract management processes.
- 2) Contribute to the development and maintenance of standard contract templates and clause libraries.
- 3) Ensure consistent application of contract management procedures across the organization.
- 4) Identify and escalate potential contractual risks and propose mitigation strategies.
- Establish basic contract tracking mechanisms to monitor key dates, obligations, and performance.
- Effectively communicate contract terms and obligations to relevant teams.
Within 365 Days, You'll:
- Contribute to the development and execution of the company's overall contract strategy and proactively provide advice and guidance on contractual matters to internal stakeholders.
- Lead efforts to further optimize and streamline contract management processes for efficiency and scalability.
- Evaluate and potentially implement contract management software or tools to enhance workflow.
- Contribute to the development and maintenance of contract-related policies and procedures.
- Develop and deliver insightful contract-related reports and analysis to inform business decisions.
