Overview
The Payroll Coordinator is responsible for the timely and accurate processing of the US employees and partner payrolls and providing an elevated level of customer service to employees, partners, vendors, and outside agencies. This position is also responsible for creating, generating, and distributing various reports and conducting research as requested. Responsible for electronic payroll processing, reconciliation, recordkeeping, reporting, compliance, audit, control, and security. The Payroll Coordinator must keep both the Accounting/Finance and Human Resources departments advised of noteworthy events and system changes/problems and must always maintain strict confidentiality.
Reporting to the Payroll Supervisor, this position will actively communicate with Human Resources, Payroll, Accounting/Finance, and IT for data requirements.
Responsibilities
- Prepare and deliver periodic payroll-related reports including but not limited to tax and labor compliance reporting and documents, benefits administration, and payroll systems maintenance.
- Timely and accurate payroll data entry in the Vision and ADP systems and other utilized software.
- Reconcile payroll data against payroll registers and resolve discrepancies.
- Reconciling all payroll-related transactions to the General Ledger.
- Assist the Accounting/Finance Department in reconciling payroll discrepancies in the general ledger.
- Ensure payroll information is managed and maintained with strict security safeguards and confidentiality.
- General check requests for payments to vendors, taxing authorities, etc. promptly.
- Provide outstanding, friendly, and timely customer service to any partners, employees, or co-workers who have questions or issues to be resolved.
- Communicating changes or concerns as appropriate to the Payroll Supervisor and the Accounting/Finance, Human Resources, and IT departments, as appropriate.
- Answer questions regarding pay including hours, overtime, deductions, direct deposit, severance payments, etc. Problem-solve issues as appropriate, reporting noteworthy events to the Payroll Supervisor or HR, as necessary.
- Trouble-shoot and resolve problems with ADP and contact Customer Support, as necessary.
- Remain current on company policies and procedures, and Federal, state, and local payroll laws as they pertain to wage and hour, taxes, benefits, garnishments, 401(k) limits, etc. Includes knowledge of various state/local regulations in states where the company operates in US.
- Other miscellaneous duties as assigned including being cross-trained to cover for other members of the department during absences.
Qualifications
- Master's degree in any subject; MBA with HR specialization is a plus
- 4-6 years of payroll/accounting experience.
- Ability to analyze data with multiple tools (excel, access, and other databases) and communicate effectively.
- Excellent communication and people skills, as well as the ability to collaborate with individuals at all organizational levels. Able to organize and prioritize issues and workload. Good decision maker and proven ability to manage time and resources to meet deadlines.

Preferred Skills/Requirements:
- Experience/familiarity with ADP-EV6 is preferred but not required.
- Strong attention to detail and unwavering commitment to meeting deadlines
- Fluent speaking, reading and writing in English required
- Ability to identify and recommend opportunities for process improvement and efficiencies
