TRC is seeking a highly motivated Office Administrative Assistant to join our growing infrastructure Construction and Facilities Group located in south Chandler, Arizona (Gilbert Road & Hunt Hwy). The ideal candidate will be enthusiastic to work in our field office with engineers, construction managers, project managers, operations and technical staff. This candidate will assist with planning, designing, construction and operation of civil engineering and infrastructure projects – specifically including municipal water & wastewater systems. Other project types may include site development, drainage, and stormwater management facilities; industrial facilities; renewable energy systems; transportation infrastructure systems including roadways, railroads and airports.
Responsibilities
TRC is actively seeking a highly motivated On-Site Administrative Assistant to support our highly skilled infrastructure engineering and construction team at our project site located in south Chandler, Arizona (Gilbert Rd. & Hunt Hwy). The ideal candidate will have experience in general office support activities including Excel spreadsheet development and Word processing. The successful candidate will be responsible for supporting our Project Staff at the TRC GRIC Field Office and providing day-to-day office administrative support operations.
Work Task Responsibilities include:
- Work with the project manager and engineering staff
- Facilitate the engineering report and proposal development, compilation and delivery process
- Assist project manager with project bidding process
- Assist with contractor and vendor communications and coordination
- Assist with internal QA/QC reviews of documents and spreadsheets
- Assist with presentations, brochures, information graphics and other marketing pieces as requested
- Liaison between project manager, staff, and clients
- Microsoft Outlook (scheduling)
- Assist with drafting corresponds as needed
- Provide high quality administration services to Clients
- Communicate & coordinate effectively and professionally with project managers internal staff, clients, vendors and contractors via written, email, and telephone communications
- Coordinate trade shows, meetings, and events – including conference room/equipment, refreshments, and food.
- Project administrative support & general clerical duties to include but not be limited to: document management and filing, postal and e-mail distribution, photocopying, and office facilities management.
- Creates and modifies various documents using Microsoft Office – specifically using Excel, Word, and Power Point.
- Creates and modifies various documents using Adobe Pro PDF and other .pdf editing software – specifically BlueBeam.
- Project filing system management as directed.
Qualifications
Basic Office Qualifications:
- Strong computer skills
- Knowledge in Microsoft Word and Excel
- Knowledge in Microsoft Project (scheduling)
- Knowledge in PowerPoint
- Knowledge in Adobe Acrobat Pro PDF
- Knowledge in accounting/bookkeeper
- Communicate & coordinate effectively and professionally with project managers internal staff, clients, vendors and contractors verbally, in writing, via email, and telephone
- Pleasant and cooperative Interpersonal skills
- Organizational and planning skills
- Ability to multitask with flexibility
- Ability to work independently and within a team
- Able to reprioritize tasks with short notice
- Knowledge of office equipment (printer, copiers, etc.)
- Leadership role when assigned for specific tasks
Basic Administrative Qualifications:
- Be a highly motivated, detail oriented, and organized office administrator.
- Be proficient and experienced with writing and editing skills.
- Have a very good working knowledge of Microsoft Office Suite and Adobe/.pdf editing software.
- Reliable and responsible
- 40 hours weekly on-site work
- The ability to lift 25 pounds.
- Responsible for project related correspondence, memos, etc.; create and maintain information spreadsheets and other documents.
- Organize, maintain, and update document and electronic filing systems; retrieve and organize information from files promptly.
- Schedule appointments and coordinate meetings and activities; maintain office and staff calendars.
- Assist project manager in preparing for meetings; produce meeting documents as needed.
- Answer basic questions concerning project deliverables and schedules.
- Receive and appropriately handle incoming telephone calls and emails in a timely and accurate manner; facilitate information flow and action and redirects calls as appropriate.
- Establishes an organized, clean, professional atmosphere for the project manager and clients.
- Performs a variety of administrative duties and special projects as requested by management.
- Other duties, as assigned.

Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.
Other Compensation: Employee may be eligible for participation in the Company’s annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
