Overview
TRC Advanced Energy (TRC) is a nationally known energy efficiency consultancy. TRC collaborates with clients to develop and implement market transforming programs and initiatives that promote energy efficiency, renewable energy, and green building in multiple market sectors across the US and around the world. These initiatives reduce energy costs, improve the health and safety conditions of buildings, while also helping the environment by reducing greenhouse gas emissions. TRC acts nationally to address some of our country’s most challenging problems: global climate change and energy independence.
The Energy Program Project Coordinator will support the delivery of a commercial energy efficiency program in Oregon and Washington. The program aims to retrofit existing buildings with energy efficiency upgrades to reduce energy usage and deliver incentive savings. This position will support the Director and Associate Director in the implementation of the program. The ideal candidate will be a detail-oriented collaborator with a positive attitude and who is excellent at multi-tasking while maintaining a high degree of accuracy, efficiency, a reliability.
We are looking for an organizer extraordinaire to support Program management, meeting scheduling, accounting reviews, and other administrative functions in support of the program. The Project Coordinator may also organize Program activity for on-time completion and issue of client deliverables, as dictated by Program scope and schedule.
This role will also provide high level support for the Director and Associate Director of this program. This role is especially important in ensuring Program leadership is receiving all important information and other information is appropriately prioritized and communicated.
The position will be at TRC’s office in Portland, Oregon.

Responsibilities
- Manage daily program operations of a 130+ people team in collaboration with senior managers and department leaders
- Manage operating budget for the program by analyzing progress to end goal, determining where adjustments needed, and proposing options to Senior Leaders
- Complete ongoing project billing rate analysis
- Review and facilitate efficient Program billing, working within company’s accounting practices
- Manage the project subcontractor process for the program, working with project subcontractors and TRC contracts team to negotiate and manage subcontracts, change orders, and conduct subcontractor check-ins
- Supporting Program managers in reporting metrics and other deliverables
- Develop and build on relationships with all employees for increased efficiency and responsiveness of existing operations and help define new operational strategies by working with Director, Associate Director and other program leads on special projects.
- Improve current processes and optimize organizational procedures for efficiency and productivity
- Provide high level support to the Director and Associate Director, including prioritization, communication screening and ability to identify potential issues early
- Develop and build on relationships with all employees for increased efficiency and responsiveness of existing operations and help define new operational strategies by working with Director, Associate Director and other program leads on special projects
- Manage competing deadlines and priorities effectively while keeping team members informed of any challenges that may impact their functional teams
- Perform administrative tasks such as managing calendars, generating correspondence to program staff and subcontractors, maintaining electronic files, planning and coordinating meetings, and scheduling facilities
- Support operations, technical, marketing, and other cross functional teams as needed through reporting, research, information follow-up, vendor training, etc
- Assist the human resources department with new hires, including drafting hiring materials, managing documentation, and onboarding, and collaborating to address and resolve employee concerns
- Provide outstanding, professional customer service with excellent communication skills and a positive attitude when addressing detailed requests from clients and internal team members
Qualifications
- 3+ years professional experience in a business management role requiring similar skills, energy program operational experience preferred.
- Associates/BS/BA degree
- Proficiency in MS Office tools (i.e., Outlook, Excel, Word, SharePoint, Teams) is required.
- Excellent written and verbal communication skills.
- A self-starter with experience in organizing multiple teams and departments.
- Versatile abilities and extreme dedication to efficient productivity.
- Nimble business mind, focused on developing creative solutions.
- Strong project management and reporting skills, with a focus on interdepartmental communications.
- Demonstrated ability to manage multiple tasks to meet short turnaround times while effectively adhering to strict quality control standards.

Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.
Other Compensation: Employee may be eligible for participation in the Company’s annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.

Salary Range
USD $66,019.00 - USD $90,002.00 /Yr.
