Overview
We are seeking an enthusiastic, proactive individual who is ready to take initiative, follow direction, and who is looking for a career. Our Events Team is looking for an experienced and motivated Marketing Coordinator to support the execution and delivery of events management support and accounts payable needs related to events for TRC’s global events program and general marketing initiatives. This role plays a crucial part in advancing our clients' marketing objectives and sales goals. This position reports to the Marketing Director, Events, works closely with other marketing and communications professionals on our team, and engages with program staff, external clients, contractors, management, and senior leadership.
Responsibilities
- Ensure the day-to-day data upkeep for conference planning utilizing SharePoint lists.
- Manages career fair equipment requests.
- Provides support for conference venue sourcing and database updates.
- Coordinates conference accounting needs, including, but not limited to check requests and invoice processing.
- Transferring newly approved conferences to the appropriate database.
- Coordinating TRC Events Program communications.
- Maintains company association members.
- Work with outside vendors for printing and mail house fulfillment.
- Order promotional materials including, but not limited to, displays/signage, and promotional printing.
- Other responsibilities include but are not limited to program participant research, developing conference planning presentations and scheduling conference planning meetings, as well as basic administrative assignments.
Qualifications
- Bachelor’s degree in Communications, Marketing, Graphic Design, related field or equivalent.
- Min 5 years of experience working in marketing, events, communications, or relevant work experience.
- Proficient in SharePoint list export and import and data upkeep.
- Skilled with Microsoft Forms.
- Proficient in Adobe Creative Cloud suite software including Acrobat, Illustrator, InDesign, and Photoshop.
- Skilled in MS Office Word, Excel, and PowerPoint.
- Must be detail-oriented while maintaining an overall understanding of marketing/conference projects.
- Initiative and the ability to work independently.
- Sound analytical and decision-making skills.
- Excellent writing skills, including copywriting and proofreading experience.
- Excellent communication skills - written and verbal.
- Experienced and comfortable working with all levels within an organization.
- Strong ability to multi-task, prioritize and meet deadlines.
- Positive attitude, detail-oriented with great organizational skills, able to work against deadlines, results-driven, and able to juggle multiple projects.
- Be prepared to submit writing and design samples upon request.
Desired Skills:
- Experience with event support, sharepoint data upkeep, and database management preferred.
- Social media content management and experience with tools and platforms used to track and analyze social and website performance metrics a plus.
- Digital marketing a plus.
- Project Management system experience preferred (Asana, Monday.com, Trello, Wrike, Confluence, Smartsheet, Notion).
