Who You Are:

We’re looking for a Project Management Specialist to join our Marketing Operations Team to lead project management for marketing initiatives across the marketing organization. You will be the driving force behind the successful execution of marketing projects and campaigns from conception to completion. You'll collaborate with cross-functional teams, ensuring that project timelines are met, and quality standards are exceeded. This role requires a strategic thinker with exceptional organizational and communication skills. We’re looking for a candidate that’s incredibly organized and motivated to strengthen their natural leadership skills by gaining experience in organizational process management. You have experience as a project lead and organizer with a passion for collaboration, process, and implementation. You will be joining an amazing team of marketers that are focused on delivering meaningful impact to customers’ lives and to the environment.

This role is hybrid with an expectation to be in the Toronto office at least 2 days per week.

How You’ll Make an Impact:

You will play a critical role within the marketing organization collaborating with cross functional groups including, brand, creative operations, digital marketing, customer base marketing and communications to ensure efficient and effective campaign development. You will be a critical partner to project owners working collaboratively with them to manage the flow of planned work through the marketing team. You will manage a project pipeline and champion the use of Asana as the department’s centralized project management system improving overall workflow efficiency to effectively bring go-to-market strategies to life through flawless execution.

Key responsibilities:

  • Own the Marketing Department’s Asana Marketing Pipeline as the cornerstone tool to manage marketing planning across the department
  • Collaborate with cross-functional stakeholders to translate high level timelines into detailed project development timelines in Asana, enabling executional team leads to proactively plan resources
  • Own communication to stakeholders regarding project status, risks, and dependencies
  • Champion the usage of Asana, documenting norms and ways of working across the organization
  • Lead the executional excellence of high impact, sales driving marketing campaigns
  • Delivery of reporting to marketing leadership highlighting the efficiency and effectiveness to project activities
  • Continuously identify and implement improvements to project management processes

We’re looking for a candidate who melds the art and science of project management, business, and marketing to enable transformative ideas to be realized and actioned. Someone who can be a subject matter expert and a trusted “go-to” colleague for guidance and project management best-practices.

What You’ll Bring to the Table:

  • 2-3 years of experience in a project management capacity at a marketing/advertising agency or product/brand marketing department leading multi-channel marketing campaigns
  • You have experience working within a matrixed organization and understand how to leverage process to complete complex, multi-stakeholder projects with large multi-functional groups with competing priorities
  • Expertise with project management software (Asana or equivalent)
  • You have a passion for organization and process management
  • Knowledge of digital marketing strategies and tactics including paid media, content marketing, email marketing and social media
  • You’re a natural presenter with the ability to impact and influence stakeholders
  • You’re an excellent relationship manager and strive to foster a culture of collaboration
  • A strong interest in marketing innovation, along with an understanding of the impacts of emerging technologies such as Artificial Intelligence and Machine Learning
  • Just so you know: The hired candidate will be required to complete a background check

Interview Process (3 stages):

  • Round 1: A 30-minute phone call with a member of Talent Acquisition.
  • Round 2: A 45-minute interview with the Director and a cross-functional group of ecopeeps (expect technical, behavioural, and solution-oriented questions).
  • Round 3: A 1-hour virtual panel/presentation with a cross-functional group of ecopeeps. For this final interview, you'll be sent a case study in advance and you will present your solution to a few members of the team.
