THE ROLE

To effectively deliver our rapidly expanding portfolio of sites, we are hiring an experienced Senior Manager, Construction Administration for our Capital Projects Team. Reporting to the Director of Capital Projects, the manager will play a pivotal role throughout the planning and design phases as well as close out of our construction projects (Pre & Post Construction duties). The Senior Manager, Construction Administration will be responsible for overseeing and managing all administrative functions across multiple sites to ensure efficient operations. This role will support senior management in areas including real estate governance, legal and financial administration, municipal governance, and site-specific requirements. Other duties include creating and enforcing administrative standards, managing permit applications, coordinating insurance requirements, and leading the RFP tendering process for resource procurement.

This role requires a dynamic individual who can work in a fast-paced environment demonstrating a company commitment to project and professional excellence, handling multiple projects simultaneously in North American and abroad.

WHAT YOU WILL BE DOING

Supporting Senior Management:

  • Work alongside the Capital Projects Teams to establish general project requirements to develop the pre and post construction strategy for all projects.
  • Facilitate communication and coordination among departments to ensure alignment with organizational objectives.
  • Develop robust procurement proposals, schedules, sequencing and methodology strategies.
  • Ensure risk management is adopted, identifying potential risks and implementing mitigation strategies to ensure quality, time, and cost-effective delivery.

Real Estate, Planning, Design, & Close Out Governance:

  • Assist teams with site selection and conceptual planning ensuring operational requirements are suitable and within budgetary parameters.
  • Oversee and manage all aspects of real estate governance, including lease agreements, property compliance, and tenant relations.
  • Ensure compliance with local, state, and federal regulations.

Legal Administration:

  • Coordinate and review legal documentation and contracts, liaising with legal counsel as necessary.
  • Maintain accurate records of legal proceedings, contracts, and agreements.

Financial Administration:

  • Assist in project construction budgeting, project financial reporting, and construction cost management for administrative functions.
  • Manage and monitor departmental expenditures to ensure compliance with budgetary guidelines.
  • Support capital cost planning and design teams to provide value engineering opportunities

Municipal Governance and Permit Application Management:

  • Act as a liaison with city planning and economic development officials to ensure compliance with municipal regulations with zoning & building code requirements.
  • Oversee the permit application process for all sites, facilitating & ensuring timely submission and approval. Status tracking and providing updates.

Approval Management and Site-Specific Requirements:

  • Chase approvals and manage site-specific requirements, such as utility connections, safety certifications, and environmental compliance.
  • Collaborate with project managers to address site-specific needs with permit, documentation control & project closures.
  • Reviewing plans and specifications as part of the pre-construction process to establish constructability issues

RFP Tendering and Procurement:

  • Development of robust procurement proposals and technical bid evaluation assessments and recommendations.
  • Manage the RFP tendering process for resource and equipment procurement.

WHAT YOU WILL BRING

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 7-10 years of experience in a similar administrative or managerial role.
  • In-depth understanding of pre-construction and construction management activities
  • Understanding of the full project cycle and how design and procurement impact the schedule and budget.
  • Strong knowledge of real estate, legal, financial, and municipal governance.
  • Proven experience in managing permits, insurance, and procurement processes.
  • Excellent communication, negotiation, and organizational skills.
  • Ability to work independently and collaboratively within a team.
  • Occasional travel to different sites globally may be required
