Job Description

• Greet and welcome visitors with a friendly and professional demeanor
• Answer and direct phone calls in a polite and efficient manner
• Maintain a tidy and organized reception area, ensuring it represents our company's image
• Manage incoming and outgoing mail and packages
• Ensure the reception video walls are functioning
• Accepting offboarding documents from resigned employees & handing over the forms to the HR team
• Direct candidates to meeting rooms during physical interviews
• Update newly printed staff ID numbers and inform new recruits to collect the staff ID’s
• Accept resigned employee’s ID’s and update the ID list
• Send the resigned employee’s ID numbers to Orion city security manager to deactivate building access
• Maintain stocks of lanyards and ID pouches and reorder when necessary
• Coordinate with the Orion City building manager and IFS security to arrange office access for IFS visitors, interview candidates, new joiners and university student visits
• Issue visitor passes and maintain records
• Share the daily lunch counts with the caterer via email and WhatsApp
• Weekly maintain and update the lunch excel sheet
• Coordinate and organize lunch, snacks, tea/coffee for staff meetings and events held at office

• Raise PO’s and process payments for vendors
• Assist with booking meeting rooms when required
• Coordinate with managers and dispatch wedding gift to newly married employees
• Assist with organizing staff events, dinners, get togethers

Qualifications

• Minimum of 2 to 3 years of proven work experience as a receptionist or similar role
• In depth knowledge on customer service
Desirable:
• Diploma / Degree in customer services would be an added advantage
