Fluence is looking for a highly organized and proactive Program Coordinator to provide critical support to all our programs and initiatives in India Innovation Centre. The ideal candidate will be responsible for the following:
1.Event Program Management:
•Take a lead role in planning, coordinating and executing all events at the India Innovation Centre, including employee connects, initiatives under the transformation office, employee engagement programs, etc.
•Collaborate with relevant teams to ensure seamless logistics and successful event outcomes.
2.Global Leaders Visits:
•Act as the point of contact for Fluence global leaders visiting India, managing all aspects of their itinerary from arrival to departure.
•Coordinate logistics, including travel arrangements, in-office requirements, and coordinate with respective EAs to manage their schedules and meetings in India
3.Meeting Support:
•Attend Country Managing Director meetings and take accurate minutes, ensuring comprehensive documentation of discussions, action items, and decisions.
•Structured follow-ups with respective stakeholders ensuring closure of all action items discussed in the meetings.
4.CSR Management:
•Coordinate and manage Corporate Social Responsibility (CSR) initiatives for the India Centre, including liaising with internal teams, external partners, and overseeing related programs.
•Ensure compliance with CSR policies and maintain records of CSR activities.
5.Calendar Management:
•Coordinate and manage the Country Managing Director's schedule, manage travel and accommodation itineraries and reimbursements for the Country Managing Director.
•Maintain effective communication channels with internal and external stakeholders.
Preferred Skills
•Bachelor’s degree in engineering, Business Administration, or a related field. Advanced degree preferred.
•3+ years of related experience required in working in an executive assistant role supporting C-Level executives.
•Excellent program and project management skills
•PMP or other relevant certifications are a plus.
•Demonstrate high levels of ownership and accountability
•Excellent communication and time management skills; proven ability to meet deadlines.
•Organize complex calendars and schedules; resolving any scheduling issues
•Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
•Proficient in Microsoft Office (Outlook, Word, Excel)
•Flexible hours as dictated by the needs of business for projects and meetings
