ABOUT THE POSITION
Physical location for this position is Mountain View, CA. and is onsite required.
The Office Manager plays an essential role in maintaining a well-organized and efficient workplace. You will be responsible for overseeing various administrative tasks, managing office and kitchen supplies, assisting with meeting set up, and working closely with building management, engineers, and vendors. You will be the first point of contact for local visitors and play a central role in implementing effective systems and processes. The primary customer for this position is your fellow Fluents and through this role you will directly support the local workforce to ensure the office and site supports our greater mission to transform the way we power the world. To thrive in this position, you will need to be comfortable working in a fast-pasted, high growth organization and prioritizing tasks effectively. Your exceptional customer service and organizational skills will be instrumental in supporting the overall success of Fluence.
Key Responsibilities
•Serving as the primary point of contact for local employees and guest and addressing their site related requests.
•Overseeing the day-to-day operations of the office space, including working with building management for maintenance, repairs, and renovations. Coordinating with vendors for facility-related services, such as cleaning, security, plant care, etc.
•Ensuring general cleanliness and tidiness of the office space to maintaining professional appearance of the office. This includes cleaning and sanitizing conference rooms, and kitchen areas after meetings or events and confirming nightly building cleaning practices are being complete.
•In charge of monitoring and restocking office and kitchen supplies. Keep track of inventory levels, place orders when necessary, and ensure that all supplies are readily available for staff members.
•Assist with on-site meetings and workshops including room setup, snacks, drinks and food setup, and guest coordination, ensuring personalization of each event.
•Monitor and administer employee access control badges. Obtain W9s and certificates of insurance from vendors, as needed, for services and payment.
•Implement safety policies and procedures, conduct regular office safety inspections (min two per month), maintain safety records and incident reports.
•Implement and assist with on-going development of sustainability initiatives to reduce the office environmental impact, utility usage tracking (if applicable), monitor and manage waste management systems and recycling programs, collaborate with vendors to source eco-friendly supplies, and engage employees in sustainable practices through infographics and awareness.
•General knowledge of lease language to maintain records and track renewals, amendments, and terminations. Ensuring accurate and up-to-date lease documentation.
•Monitoring and maintaining office budget.
•Additional tasks may include running errands, assisting with special projects, or providing support during busy periods.

What will our ideal candidate bring to Fluence?

  • 3+ years of office or facilities administration, customer service or management roles
  • Strong understanding of office operations, coordination, and administrative processes
  • General knowledge of office lease language and monitoring budgets
  • Proficiency in office software applications such as SharePoint and Teams
  • Demonstrated ability to view day-to-day operation through the lens of sustainability
  • Strong analytical, critical thinking and problem-solving skills
  • Ability to prioritize and gather stakeholder engagement
  • CPR certified or completing certification training within 90 days of employment
